Microsoft Copilot

Copilot is switched on quickly and abandoned just as quickly. The organisations where it does work have two things in order: a tidy permission model and colleagues who know what they use it for.

In short
  • Copilot sees everything a user is allowed to see. Cleaning up permissions is step one, not step three.
  • Data classification and retention periods determine what may surface in answers.
  • A rollout per department with a clear goal works better than licences for everyone.
  • We arrange adoption together with Spike Academy; technology without use returns nothing.
  • Under the AI Act, since February 2025 staff must be sufficiently AI literate.

Preparation

What happens before the rollout

  1. STEP 01
    Clean up permissions

Walk through SharePoint and Teams permissions: open sites, forgotten folders and over-broad groups. Otherwise Copilot will surface documents nobody should have seen.

  2. STEP 02
    Classify data

Label confidential information and set retention periods, so sensitive material stays out of answers.

  3. STEP 03
    Set the goal

Two or three concrete use cases per department. Without a goal Copilot becomes an expensive search bar.

  4. STEP 04
    Roll out and support

Assign licences in phases, short training per role and key users who help colleagues along.

Use cases

Where it helps in practice

Meetings

Summaries and action points from Teams meetings, so minutes are no longer evening work.

Documents

First drafts of proposals and reports based on your own files, which a person then reviews.

Email

Summarise long email threads and draft replies. Internal correspondence, not customer communication without review.

Search

Ask questions about your own documents instead of searching by file name. Exactly why permissions have to be in order first.

Copilot or an agent

When you need something else

Copilot helps individual employees work faster. It does not take over a process: someone is still needed to start it, check it and finish it.

If you want a whole process step carried out independently, you need an agent with an integration to your systems and fixed decision rules. Which route returns most depends on your maturity level; the AI scan answers that.

Transparency

If you use AI for customer communication, the transparency obligations of the AI Act have applied since 2 August 2026. Read what that means on the AI page.

Frequently asked questions

Do we need Business Premium?

Copilot requires a suitable Microsoft 365 licence per user. During the inventory we look at your current licences and what the rollout costs per department.

Can Copilot reach our confidential material?

Only if the user is allowed to reach it themselves. That is exactly why we clean up the permission model first and label sensitive data.

Does our data go to Microsoft to train models?

Within the business Microsoft 365 environment your company data is not used to train the underlying models. We record which settings apply for each rollout.

Why does a Copilot rollout often stall?

Because licences are handed out without a goal and without training. After two weeks of novelty, usage drops. A goal per role plus guidance solves that.
